Job description

 About the position: As a part time Office Coordinator, you will oversee and execute administrative and operational functions to ensure smooth and efficient office operations. You will also play a key role in organizing company events and supporting tesa’s vibrant culture.

Key Responsibilities:

  • Plan and organize company events (conferences, team events, social events) in line with regional policies.

  • Supervise external staff teams, including cleaning, maintenance, and security.

  • Administration of Travel tool for flights and hotels booking.

  • Manage databases and act as the point of contact for external vendors related to facilities.

  • Order and manage stationery and IT equipment.

  • Handle correspondence, complaints, and queries.

  • Prepare documents, presentations, and reports within facility management.

  • Manage and coordinate the car fleet.

  • Distribute and organize posts and packages.

  • Implement and maintain office administrative systems.

  • Support employee onboarding and offboarding processes.

  • Ensure compliance with Health & Safety policies.

Job requirements

Qualifications:

  • Professional qualification or experience in Business Administration, Communication, Office Administration, Executive Support, Secretary, or similar fields.

  • Fluent in English.

  • Experience in a multinational company with a matrix organization in office management or related fields.

  • Minimum of 2 years of experience as an administrative or office manager.

  • Strong organizational, time-management, and problem-solving skills.

  • Good analytical abilities and exceptional attention to detail.

  • Excellent interpersonal skills and a team player.

  • Advanced computer skills with the ability to learn new systems and procedures.

  • Hands-on experience with office machines and equipment.

  • Strong customer focus with a drive for problem-solving and process optimization.

  • Reliability, discretion, and adaptability.

  • Excellent communication and relationship-building skills.

  • Initiative and a proactive attitude.

Technical Skills:

  • Proficiency in MS Office/MS Teams.

  • SAP user (POs) knowledge is an advantage.

  • Administrator of contract management systems, travel management portals, fleet management portals, and ticketing systems.
