Job description

We are seeking a detail-oriented and proactive Office Coordinator to join our Facility Management team. As the Office Coordinator, you will be responsible for overseeing and executing administrative and operational functions to ensure the smooth and efficient operations in our tesaCluster office. Additionally, you will play a key role in organizing company events and supporting tesa's culture. This is an exciting opportunity for an individual with strong organizational skills and a customer-focused mindset.


Responsibilities:

  • Organize office procedures and implement administrative systems to support smooth operations and employee performance.
  • Plan and organize company events, including conferences, team-building activities, and social events, in adherence to regional policies.
  • Supervise external teams of staff, including cleaning, maintenance, and security personnel.
  • Coordinate transportation and accommodations during team events.
  • Manage databases and maintain accurate records.
  • Act as the point of contact for external vendors regarding facility-related matters.
  • Order and manage stationery and IT equipment.
  • Handle correspondence, complaints, and queries efficiently and professionally.
  • Prepare documents, presentations, and reports related to facility management.
  • Manage and coordinate the company's car fleet.
  • Ensure posts are distributed, briefs are delivered, and boxes are packed and sent.
  • Implement and maintain office administrative systems and procedures.
  • Provide support during employee onboarding and offboarding, including the handover of tools and documents.
  • Ensure compliance with Health & Safety policies and regulations.

Job requirements

Qualifications:

  • Professional qualification or experience in Business Administration, Communication, Office Administration, Executive Support, Secretary, or a similar professional service field.
  • Fluent in English, both written and verbal.
  • Experience in a multinational company with a matrix organization, preferably in the field of Office Management, Office Administration, or other service-related fields.
  • Minimum of 2 years of experience as an administrative or office manager.
  • Strong organizational and time-management skills.
  • Excellent problem-solving abilities.
  • Attention to detail and accuracy.
  • Strong interpersonal skills and ability to work well in a team.
  • Advanced computer skills, with the ability to quickly learn new systems and procedures.
  • Hands-on experience with office machines and equipment.
  • Customer-focused with a drive for problem-solving and process optimization.
  • Reliable and discreet.
  • Adaptability and flexibility.
  • Excellent communication and relationship-building skills.
  • Proactive and self-motivated, with a "make it happen" attitude.
